These Terms & Conditions govern your access to and use of the Shootbase platform, operated by Rolling Digital Pty Ltd (ABN 00 000 000 000), registered at 2/99 Musgrave Road, Red Hill QLD 4059, Australia. By creating an account or using any part of the platform, you agree to these terms.
1. Acceptance of Terms
By accessing or using Shootbase you confirm that you have read, understood, and agree to be bound by these Terms & Conditions and our Privacy Policy. If you do not agree, you must not use the platform.
If you are accepting on behalf of a company or other legal entity, you represent and warrant that you have the authority to bind that entity to these terms.
2. Services
Shootbase is a multi-tenant software-as-a-service (SaaS) platform that enables real estate photography and videography businesses to manage bookings, team scheduling, client portals, payments, and related business workflows.
We reserve the right to modify, suspend, or discontinue any part of the platform at any time, with reasonable notice where practicable. We are not liable to you or any third party for any modification, suspension, or discontinuation of the services.
3. Accounts & Access
You must provide accurate, current, and complete information when creating an account. You are responsible for maintaining the security of your login credentials and for all activity that occurs under your account.
You must notify us immediately at hello@shootbase.io of any unauthorised access or suspected breach of security.
You may not share your account credentials with any other person. Each individual user must have their own account. Multi-user access within a tenant is managed via team member invitations within the platform.
4. Subscription & Billing
Free trial. New tenants receive a 14-day free trial with full Pro-level access. A valid payment method is required at signup; no charge is made until the trial ends on day 15. Cancel any time before then to avoid being billed.
Paid plans. After the trial period, continued access requires a paid subscription. Plan details, pricing, and features are published on our pricing page. Prices are quoted in Australian Dollars (AUD) and are inclusive of GST unless otherwise stated.
Payment. Subscription fees are billed monthly or annually in advance via Stripe. By providing payment details you authorise us to charge the applicable fees on each renewal date.
Cancellation. You may cancel your subscription at any time via the billing portal. Cancellation takes effect at the end of the current billing period. We do not provide pro-rata refunds for unused time.
Failed payments. If a payment fails, we will notify you and attempt retry. Your admin access may be restricted after a grace period if payment is not resolved. Client-facing booking pages remain accessible during this period.
Price changes. We may change subscription pricing with at least 30 days' written notice. Continued use after the effective date constitutes acceptance of the new pricing.
5. Acceptable Use
You agree not to:
- Use the platform for any unlawful purpose or in violation of any applicable laws or regulations
- Attempt to gain unauthorised access to any part of the platform or any other user's data
- Upload or transmit any malicious code, viruses, or harmful content
- Use automated tools to scrape, crawl, or extract data from the platform without our written consent
- Resell, sublicense, or otherwise commercialise access to the platform without written authorisation
- Interfere with the integrity or performance of the platform or its underlying infrastructure
We reserve the right to suspend or terminate accounts that violate these provisions.
6. Data & Privacy
Your use of the platform is governed by our Privacy Policy, which is incorporated into these Terms by reference.
Your data. You retain ownership of all content and data you submit to the platform ("Customer Data"). By using the platform, you grant us a limited, non-exclusive licence to store and process Customer Data solely for the purpose of providing the services.
Data security. We implement industry-standard technical and organisational measures to protect Customer Data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Data export. You may export your data at any time from within the platform. Upon termination, we will retain your data for 30 days during which you may request an export. After this period, we may delete your data.
7. Intellectual Property
The Shootbase platform, including all software, design, trademarks, and content created by us, is owned by Rolling Digital Pty Ltd and is protected by Australian and international intellectual property laws.
Nothing in these Terms grants you any right to use our trademarks, logos, or trade names without our prior written consent.
You retain all intellectual property rights in Customer Data you upload to the platform.
8. Limitation of Liability
To the maximum extent permitted by applicable law, Rolling Digital Pty Ltd and its directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or business interruption, arising out of or relating to your use of or inability to use the platform.
Our total cumulative liability to you for any claims arising under or in connection with these Terms shall not exceed the total fees paid by you in the 12 months preceding the event giving rise to the claim.
Nothing in these Terms limits or excludes any liability that cannot be limited or excluded under the Australian Consumer Law, including statutory guarantees for services.
9. Termination
Either party may terminate these Terms at any time. You may terminate by cancelling your subscription and ceasing use of the platform. We may terminate or suspend your access immediately if you materially breach these Terms and fail to remedy the breach within 7 days of written notice, or immediately for serious breaches such as fraudulent conduct or significant security violations.
Upon termination, your right to access the platform ceases immediately. Provisions that by their nature should survive termination (including data retention, intellectual property, limitation of liability, and governing law) will survive.
10. Governing Law
These Terms are governed by the laws of Queensland, Australia. You agree to submit to the exclusive jurisdiction of the courts of Queensland for the resolution of any disputes arising under or in connection with these Terms.
11. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email or via an in-platform notice at least 14 days before the changes take effect. Continued use of the platform after the effective date constitutes your acceptance of the updated Terms.
